The Challenge

  • Organizations send too many messages across too many channels, leading to information fatigue and disengagement.
  • Teams often prioritize volume over value, assuming that more communication equals better engagement.
  • In reality, less is often more—fewer, well-timed, high-quality messages create greater impact than a flood of poorly coordinated content.

Why Prioritizing Communication Requests Matters

  • Prevents audience fatigue: Overloading customers or employees with messages can reduce engagement rates and lead to message blindness.
  • Ensures clarity and focus: When every message competes for attention, the most important ones can get lost.
  • Optimizes resources: Reducing unnecessary communication frees up time and effort for high-impact initiatives.
  • Improves decision-making: Prioritizing what to send ensures that only the most relevant, valuable, and timely messages reach the audience.

Steps to Evaluate and Prioritize Communication Requests

  1. Assess the Purpose and Business Impact
  • Does the message support strategic goals or is it just noise?
  • What is the desired outcome, and is communication the best way to achieve it?

2. Identify the Target Audience & Relevance

  • Is the message truly necessary for this audience?
  • Does it solve a problem, provide value, or help in decision-making?

3. Determine the Best Timing & Channel

  • Will this message conflict with or overshadow other important updates?
  • Is it best suited for email, in-app notifications, social media, or another format?

4. Weigh Trade-Offs & Opportunity Costs

  • What are we sacrificing by prioritizing this message over others?
  • If we send this, will it dilute the impact of another important communication?

5. Measure & Iterate

  • Use engagement metrics (open rates, click-throughs, responses) to understand what works.
  • Continuously optimize and refine based on data and feedback.

All in all

  • Prioritizing communication ensures that each message serves a clear, strategic purpose.
  • A "less-is-more" approach doesn’t mean sending fewer messages—it means sending the right messages.
  • By evaluating impact and trade-offs, organizations streamline communication, enhance engagement, and improve overall effectiveness.
